Areas of Responsibility and Job Requirements: Responsible for assisting the property manager in the oversight of building staff and maintenance operations at assigned properties.
Responsibilities include, but are not limited to: • Assists the Property Manager (PM) with all aspects of operational procedures including the daily oversight of all maintenance personnel • Manages HQS inspections/repairs and court-ordered repairs • Oversees equipment repairs and status updates • Handles general building maintenance operations • Track, maintain, and schedule in-house resident maintenance repair requests, as well as repairs requiring external vendors • Prepare and release vendors via work authorizations ensuring that all approvals are in place pursuant to pre-established thresholds • Maintains frequent resident engagement which includes resident follow-up and timely responses (e.
g.
email, phone, etc.
) • Assists PM with all active and aged (HDP, DOB, ECB) violations including follow-up with CHA (Cohen Hochman & Allen) and updating SiteCompli • Works alongside the PM and actively engage the Legal Team to track/monitor and cure any/all HP actions and/or litigation imposed by city agencies surrounding maintenance issues • Supports, tracks, and assists both the site team(s) and PM on agency-specific regularly inspections (i.
e.
REAC, MOR, API, etc.
) • Tracks and logs vacant apartments; follow up with PM to schedule and prepare make-ready process • Works alongside PM reviewing MOR report information, especially when explaining collections, legal/arrears, and bad debt matters • Reviews and processes vendor invoices on Avid Exchange weekly • Works out of regional site-office and responds to issues on behalf of PM Minimum Education Requirements: • Bachelor’s degree preferred or a combination of work experience, education and professional designations, certifications • Preferred Certifications: RAM, ARM, AHM, LIHTC, and CPM Minimum Years of Experience Required: • 2+ years of experience in Property Management Operational role(s) with a college degree -or- • 4+ years of experience in direct APM role at similar scale/scope properties without a college degree Additional Knowledge, Skills, and Abilities: • Must be proficient in Microsoft Office applications • Proficiency in Yardi required • Experience in multifamily property management having served in administrative or APM-specific role(s) • Must display ability to complete tasks/projects on-time • Ability to work with people and manage administrative projects • Must possess exemplary customer service skills Competencies/Essential Job Functions: This position consists mainly of sedentary work.
The position may require exertion of up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.
The role involves sitting most of the time.
• The incumbent is required to have close visual acuity to perform activities such as: viewing a computer; extensive reading and visual inspection involving small defects.
• This role frequently requires incumbent to talk and hear, expressing or exchanging ideas by means of spoken work and the ability to receive detailed information through oral communication, and to make distinctions in sound; engage in repetitive movements with the wrist, hands, and fingers by typing, reach, picking, pinching, typing or otherwise working, primarily with fingers rather than with the whole hand as in handling.
• This role occasionally requires incumbent to stand for long periods of time, walking and/or moving about on foot to accomplish tasks particularly for long distances; moving from one work site to another or occasionally in narrow aisles, hallways, or passageways.
Work Environment: The incumbent may occasionally be subject to environmental conditions (protection from weather conditions, but not necessarily from temperature changes.
The incumbent may occasionally be subject to noise sufficient to cause the worker to shout in order to be heard above the noise or vibration.
